Fintech company, PayComplete, realized late into their Infor M3 ERP installation that the out of the box reporting solution they originally selected was not going to meet their business needs. Their team required a reporting solution that was intuitive for users, did not require a complex data warehouse, functioned well with Excel for both importing and exporting data, and could handle complex reports. The team was turning 11 divisions onto M3 on 3 continents with a remote team during Covid. Finding Cyberquery saved the ERP implementation. The team wanted the users to be able to pull their own data and make reports without complex data warehousing or relying on busy IT. Cyberquery is intuitive to use. It also has a predefined data dictionary for M3 allowing for direct access to the data without a data warehouse intermediate step.

In addition, the PayComplete team has complicated VAT reporting requirements that Cyberquery handled with ease. VAT calculations demand accuracy and reporting errors are not an option. The Cyberscience consultants helped with developing and automating the reports, making them accurate and consistent.

Cyberquery Transcends Data Discovery at Porter Pipe

Porter Pipe and Supply is a wholesale distributor focused on the mechanical contracting segment in the Midwest. Porter Pipe needed a new application that could be deployed in lieu of their sunsetting analytics software as well as interface seamlessly with CloudSuite Distribution (CSD). It was a challenging time as they were upgrading from SX.e to CSD just a few months before year end.

The team used to query SX.e data in real-time and develop ad hoc reports with ease. As they evaluated different data analysis solutions, Cyberquery was the software that met their demanding requirements against CSD.

Within the cloud CSD environment, data is replicated in a Data Lake for analysis purposes. Porter Pipe uses Cyberquery to import data on a weekly basis. In addition, incremental daily and hourly updates occur automatically based on Porter Pipe’s unique data refresh requirements. The hourly update takes less than 5 minutes with no impact on the ERP performance. This gives them the near real-time access they need for critical data such as sales, accounts payable and the general ledger.

Pricing for distributors is one of the more challenging reporting areas. It is complex and highly competitive with direct impact on the bottom line. Porter Pipe’s pricing team needed reports to help manage prices and maintain price books. With the help of Cyberscience, multi-pass reporting and several calculated fields were leveraged to better understand price type and price level by all customers.

Annually Porter Pipe creates year-end review reports for their top customers and suppliers. These 5-10 page reports summarize sales, rebates, returns, savings, etc. It traditionally took 2 days to prepare one customer report. With Cyberquery the process now takes one day, resulting in a 50% productivity gain. The team is looking at further automating the process utilizing additional Cyberquery features.

East Sydney Private Hospital improves KPI’s using Cyberquery

Matthew Napier – CFO at East Sydney Private Hospital (ESPH), spoke with me about their experience with Cyberquery. East Sydney Private Hospital (ESPH) is a boutique hospital that opened in 2014. They strive to deliver the highest level of personalized patient care. They needed a business intelligence solution that could report across multiple systems – Global Health ePAS (patient administration systems), Emplive (employee time management), and Butterfly Systems (surgical case costing). Cyberquery, from Cyberscience Corporation, was able to provide the solution.

ESPH staff needed an efficient way to combine data and have a single, real-time view of their business KPI’s. Two critical KPI’s that were especially challenging prior to implementing Cyberquery were Clinical Staffing and Billing & Coding.

For the ESPH team to analyze Clinical Staffing, they had to manually export data from Emplive and build pivot tables that were then reviewed against ePAS data. This took many hours per week and was susceptible to user error if the steps were not done exactly in sequence. The team worked with the Cyberquery Professional Services Group and developed an automated Clinical Staffing report that combines Emplive and ePAS data which is run daily through the Cyberquery Launchpad.

The billing and coding KPIs were another source of frustration. Staff had to manually pull and consolidate 4 reports to process and manage patient billing. Cyberscience developed a billing and coding report only requiring a single click within Cyberquery. This report also includes drill-down capabilities allowing for further insight into a patient or insurance company transactions. With the new report, the team reduced Discharge to Bill by 5 days!

Prior to implementing Cyberquery, ESPH staff required over a week to collect, consolidate, and manipulate the data into actionable information. Now, Cyberquery processes and provides the KPIs and daily reports seamlessly, including the capability to drill-down to the transaction level. Having timely insight into both clinical and financial data has enhanced the hospital’s ability to make decisions and run more efficiently.

Master Data Governance

The final step for implementing best practices for Master Data Management (MDM) is establishing an ongoing process and set of controls to ensure the maintenance and adherence to the data structures and mapping is successful. Master Data is not static because businesses, product lines, products, suppliers, components and processes can be added, modified or removed throughout the fiscal year. This causes ongoing maintenance to the master data and without a data governance model the data quickly becomes disorganized and reports will show incorrect results. A robust Data Governance Model for Master Data Management has 3 key elements – people, processes, and technology.

People

For a Master Data Governance Model to work a dedicated resource is needed. This resource can be one person in small company or a “team” in a larger company. This resource develops and maintains the forms which control the addition of Customer, Supplier, Product, etc. data. They make sure the workflows are documented and followed. This resource will need support from IT to have automation tools to expedite the upload and download data process. Some of the characteristics that make someone successful in this role are acute attention to detail, strong business system (ERP) knowledge and credibility with management. This is a gate keeper role and they will be saying “no” and asking people to “resubmit forms”; if for example the engineering change notice for a new part is submitted with missing data. This resource can be in any department but oversight for the MDM role should be a joint committee made up of usually accounting, engineering and I.T. management.

Processes

A Master Data Governance Model should have governing processes and forms documented in the company’s quality system usually defined within local work instructions or global work instructions. Tribal knowledge and “go ask Susan or Bob” are not examples of a robust or disciplined system. The forms (an example would be an Engineering Change Request or Price Change Form) ensure that all the data is collected and available for a change to occur in the Master Data. The governing processes ensure that changes have been approved and communicated correctly within the company.

Technology

Lastly, a robust Master Data Governance Model utilizes technology and automation. Best practice is to maintain as much Master Data in your ERP system as possible thus “one version of the truth”. “Extending” your ERP with additional tables and fields to accommodate this is perfectly OK. IT can assist to develop automated tools to upload and download required data which is extremely helpful and almost a requirement. Another area to automate is developing reconciliation procedures that are run at least monthly highlighting the changes from the previous month. The reconciliation will flag adds and deletions from the database as well as flag potential errors such as parts with zero-dollar pricing for example. The automation reduces the overall threat of a manual entry error.

Summary

Master Data is not static, requires maintenance and constant review and attention. It is important the company leadership properly funds the resource or resources with the right people and tools. Management also needs to support the adherence to the processes for updating the Master Data and discourage one off work arounds. With the pace of change companies face, it’s imperative to have a well-supported Master Data Governance Model that ensures the information that leadership is using to make decisions is complete and accurate.
